Admission policies

Sulu State University adopts an open, transparent, inclusive, and merit-based admission system that provides qualified applicants equitable access to quality higher education while ensuring compliance with University policies and national educational standards.

No applicant shall be admitted without submitting the required admission credentials and complying with the prescribed admission procedures.

Student classification

How students are classified

Classification based on academic program, academic standing, and enrollment status.

Based on academic program

  • Secondary student A student enrolled in the University's Basic Education Program.
  • Undergraduate student A student enrolled in a certificate, diploma, or bachelor's degree program.
  • Graduate student A student enrolled in a master's, doctorate, or other post-baccalaureate program.

Based on academic standing

  • Freshman A student enrolled in the first year of a degree program and has completed not more than twenty-five percent (25%) of the prescribed curriculum.
  • Sophomore A student who has completed at least twenty-five percent (25%) but less than fifty percent (50%) of the prescribed curriculum.
  • Junior A student who has completed at least fifty percent (50%) but less than seventy-five percent (75%) of the prescribed curriculum.
  • Senior A student who has completed at least seventy-five percent (75%) of the prescribed curriculum.

Based on enrollment status

  • Regular student A student enrolled in the prescribed subjects and academic load specified in the curriculum.
  • Irregular student A student whose academic load differs from the prescribed curriculum due to transfer credits, failed subjects, shifting of program, or other valid reasons.

Freshman applicants

Qualifications

A freshman applicant is a student seeking admission to the University for the first time after completing Senior High School or its equivalent.

Documentary requirements

  • Accomplished Admission Application Form
  • Original Senior High School Report Card (Form 138)
  • Form 137-A (if available)
  • Learner Reference Number (LRN)
  • Certificate of Good Moral Character
  • Certificate of Completion or Diploma
  • Photocopy of PSA Birth Certificate
  • PSA Marriage Certificate, if applicable
  • Permit to Study for employed applicants
  • Recent passport-sized photographs
  • Other documents as may be required by the University

Admission procedure

  1. Step 1. Complete the online or on-site admission application.
  2. Step 2. Submit all documentary requirements to the Office of Admission.
  3. Step 3. Undergo admission screening and evaluation.
  4. Step 4. Take the University Admission Examination, if required.
  5. Step 5. Receive official admission results.

Transferee applicants

Qualifications

A transferee is a student who has earned academic units from another recognized educational institution and seeks admission to continue studies at Sulu State University.

  • Certificate of Good Moral Character
  • PSA Birth Certificate
  • PSA Marriage Certificate, if applicable
  • Permit to Study for employed applicants
  • Recent passport-sized photograph
  • Other documents required by the receiving academic unit

Admission procedure

  1. Step 1. Submit all transfer credentials to the Office of Admission.
  2. Step 2. Undergo credential evaluation by the Registrar and concerned academic unit.
  3. Step 3. Take the admission examination, if required.
  4. Step 4. Receive admission approval and evaluation of transferable credits.
  5. Step 5. Proceed to enrollment.

Admission of transferees shall be on a provisional basis pending the submission and verification of the Official Transcript of Records from the previous institution.

C

Cross-enrollees

Qualifications

A cross-enrollee is a student currently enrolled in another institution who is authorized to take specific courses at Sulu State University.

Requirements

  • Permit to Cross-Enroll from the parent institution
  • Certificate of Good Moral Character
  • Letter of Approval from the Dean or Registrar of the home institution

Procedure

  1. Step 1. Submit the Permit to Cross-Enroll.
  2. Step 2. Secure approval from the receiving College or Academic Unit.
  3. Step 3. Register approved subjects.
  4. Step 4. Pay applicable fees.
  5. Step 5. Secure Certificate of Registration.

Foreign students

Qualifications

Foreign students are non-Filipino citizens seeking admission to degree programs offered by the University.

  • Alien Certificate of Registration
  • Personal History Statement
  • Affidavit of Financial Support

Enrollment procedures

Official enrollment process

Enrollment becomes official only upon approval of the student's academic load, validation of requirements, and issuance of the Certificate of Registration (COR).

New students, transferees, and shifters

  1. Step 1: Medical Clearance — Submit required medical documents and secure clearance from the University Health Services Office.
  2. Step 2: Admission Verification — Proceed to the Office of Admission for verification of admission status and student profiling.
  3. Step 3: Academic Advising — Meet with the Dean, Program Chairperson, or Academic Adviser for evaluation and approval of subjects.
  4. Step 4: Registration and Assessment — Proceed to the Registrar's Office for subject registration and assessment of academic load.
  5. Step 5: Payment and Validation — Pay applicable fees at the Cashier's Office or validate scholarship and government-funded benefits.
  6. Step 6: Issuance of Certificate of Registration — Secure the Certificate of Registration (COR) from the Registrar's Office.
  7. Step 7: Student Services Processing
    • Proceed to the Office of Student Affairs and Services for Student ID processing.
    • Proceed to the Digital Transformation Office or Management Information Systems Office for activation of student portal and institutional email account.
    • Proceed to the Physical Education and Sports Services Office, if applicable.
  8. Step 8: Final Confirmation — Submit all completed enrollment documents to the concerned College Dean's Office.

Returning and continuing students

  1. Step 1 — Secure academic advising and evaluation from the respective College or Academic Unit.
  2. Step 2 — Register approved subjects through the University Enrollment System.
  3. Step 3 — Pay assessed fees or validate scholarship privileges.
  4. Step 4 — Obtain the Certificate of Registration (COR).
  5. Step 5 — Update student records and portal access through the University's Digital Transformation Office.
  6. Step 6 — Complete enrollment requirements and submit documents to the College Dean's Office.
Effectivity

Policy effectivity

These Admission Policies and Enrollment Procedures shall take effect upon approval by the University administration and shall remain in force unless amended or revised by appropriate University authorities.
